Quickstart: Administration

Manage your workspace, members, roles, and billing to keep your InstantDocs environment organized and secure.

Workspaces in your Knowledge Base

Admins can manage workspace settings, update branding, control members, generate API keys, and handle billing or credits. Only admins see administration settings; members see account and feature options only.

NOTE: Deleting a Workspace permanently removes all Docs and members. This action can’t be undone.

Inviting Members to your Knowledge Base

Invite users by email or domain, assign them admin or member roles, and manage access all in one place.

Tip: Add company domains so employees can auto-join without creating duplicate workspaces.
NOTE: Double-check role assignments when inviting members, admins gain broad access to settings and billing.

Members and Roles in your Knowledge Base

Workspaces support Owners, Admins, and Members, with Guests added at the Knowledge Base level. Owners have unrestricted access, admins manage settings, and members only see what’s shared with them.

  • Clearly define responsibilities, keep sensitive settings protected, and share Knowledge Bases securely with guests.

Tip: Use Guest access when you want external users to view docs without workspace entry.
NOTE: There can only be one owner at a time. Transferring ownership overrides the previous owner immediately and needs to be transferred by the current owner.

Billing and Plans for your Account

Choose a free or paid plan, add seats, order AI credits, and review invoices. Billing can be managed monthly or yearly with add-ons available for scaling.

Tip: Start with monthly billing if you’re unsure, then switch to yearly for discounted rates once you’re ready.
NOTE: Cancelling mid-subscription doesn’t trigger refunds, you’ll revert to the free plan at the end of the cycle.
