How to Go Live with Your InstantDocs Knowledge Base

Add your custom domain to your Instant Docs Knowledge Base and go live.

Overview

When moving from Groove to InstantDocs, you can keep your existing knowledge base live on your custom domain on Groove until you're ready to launch your new InstantDocs knowledge base. This ensures there’s no downtime or disruption for your customers.

Before You Go Live

  • Your current custom domain (e.g., mycustomdomainkb.com) still points to your Groove KB.

  • Your new InstantDocs KB is available on a temporary InstantDocs subdomain (e.g., mykb.instantdocsbase.com).

  • You can prepare and review your new KB on this InstantDocs subdomain before switching.

Going Live

When you’re happy with your InstantDocs KB and ready to launch:

  1. Add your custom domain (e.g., mycustomdomainkb.com) in InstantDocs.

  2. InstantDocs will automatically generate SSL certificates for your domain.

  3. Update your DNS records provided by InstantDocs to point your custom domain to InstantDocs.

  4. Your InstantDocs KB will now be live on your custom domain, replacing the Groove KB.

Important Reminder: When updating your DNS records, make sure to replace your old Groove records with the new InstantDocs ones. Most DNS providers won’t allow conflicting records, but this step avoids any confusion.

Tips

  • DNS updates may take some time to propagate depending on your provider.

  • You can always preview your InstantDocs KB at the temporary subdomain before switching.

  • This process ensures your customers won’t experience downtime.

Can I keep my Groove KB live while setting up InstantDocs?
Yes. Your custom domain (e.g., mycustomdomainkb.com) can stay pointed at your Groove KB while you prepare your new InstantDocs KB on its temporary subdomain (e.g., mykb.instantdocsbase.com).
What happens when I’m ready to go live?
When you’re ready: - Add your custom domain in InstantDocs. - InstantDocs will automatically generate SSL certificates. - Update your DNS records to point to InstantDocs.
Do I need to remove my Groove records?
Yes. Make sure to replace the old Groove records with the new InstantDocs ones so you don’t end up with two sets of records pointing to different places.
Will there be downtime?
No. Your Groove KB stays live on your domain until you update your DNS. Once the change propagates, your InstantDocs KB will take over seamlessly.
Can I stay on Groove and not make the switch to InstantDocs?
You can continue using Groove with your domain connected to Groove until 31st December, 2025. After the migration period, you will not be able to create or edit articles in Groove. Switch to InstantDocs to keep creating and editing articles.
Will all my links be redirected? How about those pointing to Docs from external sources?
Yes. All existing links, including those from external sources, will point to the new Docs.
When are the Groove Knowledge Bases being discontinued?
January 1st, 2026.
